Questions schools ask us
Straight answers about the free trial, getting set up, your data and how subscriptions work.
Getting started
What is EduTrace?
EduTrace is a school data intelligence platform for secondary schools. It replaces disconnected departmental spreadsheets with one clear picture of how your students are doing against their exam specification, and helps staff decide where to step in next.
Who is it for?
Departments first. Class teachers see their own classes, heads of department see their whole subject, and, where your school chooses, students and families can follow their own results and progress.
How does the free 30-day trial work?
Get in touch and we set the trial up for you. It lasts 30 days, includes every feature for the subjects in the trial, and we do not ask for payment details. You can use your school's real student data.
If you subscribe before the trial ends, your data stays exactly where it is. If you do not, access stops on the end date, we keep your data for 3 months in case you change your mind, and then we permanently delete it. Each school can have one free trial for each subject.
How does onboarding work?
We set your school up with you, so there is no self-service sign-up to work through on your own. Your head of department receives an invitation, sets a password and two-step verification, confirms their details and chooses the exam board for each subject. They then invite their teachers and add classes and students.
Subjects and exam boards
Which subjects and exam boards do you support?
Two GCSE subjects are available now: Business (Edexcel 1BS0, OCR J204, AQA 8132) and Computer Science (OCR J277, Edexcel 1CP2, AQA 8525). We add subjects and exam boards in stages, so tell us what your department teaches.
Do you load the papers and grade boundaries?
Yes. We load each specification's structure, papers and grade boundaries for you, and link to the exam boards' own websites for papers and mark schemes. EduTrace is independent and is not affiliated with, or endorsed by, Pearson Edexcel, OCR or AQA.
Can we change our exam board later?
Yes. Your head of department can change it at any time. They will see a warning first, because changing board affects your assessment data.
Can we build our own assessments?
Yes. Teachers build their own assessments and tag each question to the specification, so results show exactly where in the specification students are doing well and where they are underperforming.
Working with your school
Does it work alongside SIMS, Arbor or Bromcom?
Yes. EduTrace sits alongside your MIS rather than replacing it, giving you deeper departmental insight than a spreadsheet. There is no automatic MIS sync at the moment: you add students by importing a list or one at a time.
Can a multi-academy trust use it?
A subscription covers one school, so a trust needs a separate subscription for each of its schools unless we agree otherwise in writing.
Can students and parents see results?
Only if your school chooses. You decide what students and families can see, and when: results stay hidden until your school releases them, assessment by assessment. Each department also chooses which extras appear, such as predicted grades, topics to work on, homework, quiz scores, comments and effort grades, and can switch the student and parent portal off entirely. Students sign in with their own account. Parents sign in with a family code from the school and a PIN they choose, and we do not store parent names, emails or phone numbers.
How do I get support?
Email hello@edutrace.co.uk. Support is by email on working days.
Data and security
Where is our data stored?
In the UK. Our database and sign-in provider runs on servers in London, and we will not move your school's data outside the UK without your written agreement. See the list of sub-processors.
Who can see our students' data?
Only the people your school gives access to, and only what their role needs: class teachers see their own classes and each head of department sees only their own subjects. EduTrace administrators can manage school accounts but cannot see student or assessment data. The limited circumstances in which we might need access, such as fixing a fault, are set out in our Data Processing Agreement.
How are accounts protected?
Staff accounts, including teachers, are protected with multi-factor sign-in. Every school's data is kept completely separate from every other school's, access is by role, and data is encrypted in transit and at rest.
Do you have a Data Processing Agreement?
Yes. Your school is the data controller and EduTrace is the data processor. Our Data Processing Agreement is published on this site and forms part of every free trial and subscription. Nobody needs to sign anything: your head of department confirms it when they first sign in, and we record who, when and which version. A signed copy is available on request.
Do you sell our data or use it for marketing?
No. We never sell personal data and never share it for marketing. We use school data only to provide the service to you. Read our Privacy Policy.
Can we export or delete our data?
Yes. While your trial or subscription is active you can view and export your data, and you can ask us to delete it sooner.
Subscriptions
How does pricing work?
You subscribe per subject for 12 months, and the price depends on how many students are in the subject. Every plan includes every feature. Prices exclude VAT where it applies. See the Pricing page or ask us for a quote.
What are student places?
Each subscription includes a set number of student places for its subject. A student uses one place when they are added to a subject, and a student who studies two subjects uses one place in each. A place is freed when a student is removed from the subject, archived or deleted. If a subject runs out of places, you can ask us for more or upgrade, and students already in the subject are not affected.
Does my subscription renew automatically?
No. We will contact you before it ends and renewal is by agreement, so there are no surprise charges.
What if we are not satisfied?
If you are not satisfied with your first subscription to a subject, tell us in writing within 15 days of the invoice date and we will refund the fees for it in full. This does not apply to renewals.
What happens when a subscription ends?
Access stops on the end date. We keep your data for 3 months in case you want to renew, and then we permanently delete it, including backups within 30 days. You can ask us to delete it sooner.
